Lift AMC Renewal Letter Format: Signed Before Expiry
Lift AMC Renewal Letter: A Format That Gets Signed Before Expiry
By Mr. Sumeet Katariya, ElevatorPlus ·
In short: A lift AMC renewal letter format that gets signed has 12 parts: reference and date, customer and site, every lift by number, current expiry, new period, AMC type, renewal value per lift, what changed and why, last year's service summary, how to accept, what happens on expiry, and a named contact. Send it 60 days before expiry, follow up at 30 days and again 1 day before. For contracts ending in November or December 2026, send before Diwali on 8 November.
Key takeaways
- A renewal letter is a sales document, not a reminder. It has to justify the number, not just announce it.
- List every lift, not the building. A society with three lifts on one AMC needs three lines, each with its own value.
- Explain any increase in one line. Point to the escalation clause in the current contract, or to a change in scope. Unexplained increases go to the committee and stay there.
- Attach last year's service record. Visits done and breakdowns attended, taken from your records, is the strongest case for renewal you have.
- Send at 60 days, not at 15. A housing society or a builder's facility team may need a meeting to approve. Sixty days leaves room for one.
- Diwali changes the calendar. Diwali falls on 8 November 2026. A letter that arrives after it competes with festival closures and year-end budgets.

What should a lift AMC renewal letter include?
Twelve parts. Leave out any one and the customer has a reason to wait.
This guide is about the letter itself. The wider renewal process, from tracking expiries to recovering lapsed contracts, is covered in AMC Renewal: Stop Losing Lift Contracts at Expiry. For what your systems need to do across AMC, breakdowns and stores, see Elevator Maintenance Software: What It Has to Do (2026).
| # | Part | What to write | Why it matters |
|---|---|---|---|
| 1 | Reference and date | Your letter number and the date sent | Lets both sides refer to one document |
| 2 | Customer and site | Society or company name, site address, the person addressed by role | Reaches the person who can approve |
| 3 | Lifts covered | Each lift by your lift number, location in the building and type | Stops "which lift?" questions |
| 4 | Current contract | Contract number, start date and expiry date | Makes the deadline visible |
| 5 | New period | Proposed start and end dates | Shows there is no gap |
| 6 | AMC type | Comprehensive or non-comprehensive, and any change | Prevents scope disputes later |
| 7 | Renewal value | Value per lift, total, and taxes as applicable | The number they will discuss |
| 8 | What changed and why | One line on any increase: escalation clause, scope change, added lift | Answers the committee's first question |
| 9 | Last year's service | Preventive visits done, breakdowns attended, major parts replaced | The proof that justifies the number |
| 10 | How to accept | Sign and return, work order, or first payment, by a stated date | Turns agreement into action |
| 11 | On expiry | What your current contract says happens if it is not renewed | States the position without threat |
| 12 | Contact | Named person, mobile and email | Gives the customer someone to call |
Part 9 is where most letters are thin. "We have provided excellent service" persuades nobody. "Twelve preventive visits completed, four breakdowns attended, door operator replaced in June" does.
Part 11 needs care. State what your existing contract says, in its own terms. Do not add new conditions in a renewal letter. If you are unsure what your contract says on expiry, read The Clauses That Decide Whether a Lift AMC Makes Money before you write the line.

When should the renewal letter go out?
Three touches, timed to the expiry date. Each has a different job.
| When | What goes out | Who sends | Channel |
|---|---|---|---|
| 60 days before expiry | The full renewal letter with service summary attached | Office or account owner | Email, plus a printed copy for societies that work on paper |
| 30 days before expiry | A short reminder, plus a phone call to the decision maker | Account owner | WhatsApp or email, then a call |
| 1 day before expiry | A final reminder stating the expiry date | Office | WhatsApp or email |
Sixty days is not arbitrary. A housing society committee or a builder's facility team may need a meeting before it can approve. Sixty days gives the letter time to reach that meeting. Fifteen days does not.
The 30-day touch is a call, not just a message. By then you want to know one of three things: approved, pending with a date, or a problem. A problem found at 30 days can still be solved. A problem found on the expiry date usually cannot.

The acceptance block at the bottom matters. It lets a committee sign the same page you sent, rather than drafting a reply. Fewer steps, faster signature.
How do you fill in the sample without losing the customer?
Five rules, from what we see in onboarding.
- Pull the lift list from the contract, not from memory. If the letter lists two lifts and the society has three, the committee starts doubting everything else on the page.
- Pull the service numbers from your records. Count visits and breakdowns from your visit records for each lift. If you cannot produce them, the attachment in part 4 becomes a promise you cannot keep.
- Explain the number in one sentence. Name the clause or the change. Long justifications read as defensive.
- Keep scope changes separate. If you want to change from comprehensive to non-comprehensive, say so in part 2 with one reason. Do not bury it in part 5.
- Give an acceptance date before the expiry date. Seven days before expiry leaves time for a work order to reach your office.
Part 4 depends on records you already keep. What a per-lift record should hold is set out in Elevator Maintenance Records in India: What You Must Keep.

Why do lift AMC renewal letters fail?
Usually for reasons that have nothing to do with price.
| Failure | What happens | The fix |
|---|---|---|
| Sent 10 days before expiry | The committee cannot meet in time, the contract lapses | Send at 60 days |
| Addressed to "The Manager" | It sits with a watchman or a receptionist | Address the role that approves: chairman, secretary or facility manager |
| No lift numbers | The customer cannot tell what is covered | List each lift with location and type |
| Increase with no reason | The committee defers the decision | One line naming the clause or the change |
| No service summary | Renewal is judged on price alone | Attach visits and breakdowns from your records |
| No acceptance block | The customer has to draft a reply, so nobody does | Add a signature block on the letter itself |
| No follow-up | The letter is read once and forgotten | Call at 30 days, remind at 1 day |
Most of these are fixed by one template, filled from the contract record every time, and sent on a fixed date.
Why does Diwali matter for October renewal letters?
Diwali falls on 8 November 2026. If an AMC expires in November or December, the 60-day letter should already be out. If it is not, send it this week.
A letter that lands in the last days of October reaches a society or office before the festival closures. A letter that lands after Diwali competes with holidays and with customers closing their own books. Expect slower replies.
For AMCs expiring between January and March, the 60-day letter will go out in November to January. That keeps renewals inside the financial year rather than leaving them for the last week of March.
How ElevatorPlus handles AMC renewal letters
In ElevatorPlus, AMC management holds every contract against every lift and sends renewal reminders 60 days, 30 days and 1 day before expiry. Reminders go to the customer by email, and over WhatsApp where the WhatsApp Business API is connected.
An AMC renewal notice is one of the document types ElevatorPlus generates from live contract data, so the lift list, contract number and dates come from the record rather than being retyped. The notice can be sent by WhatsApp or email from the same screen. Preventive visits and breakdowns are logged against each lift, which is where the service summary in part 4 comes from.
Frequently asked questions
1. What should a lift AMC renewal letter include?
Reference and date, customer and site, every lift by number, current expiry, new period, AMC type, renewal value per lift, the reason for any change, last year's service summary, how to accept, what happens on expiry and a named contact.
2. When should I send an AMC renewal letter?
Sixty days before expiry, with a reminder and a phone call at 30 days and a final reminder 1 day before.
3. Should the renewal letter show the value per lift?
Yes. A society with three lifts on one AMC should see three lines and a total. It prevents questions about what each lift costs.
4. How do I explain an AMC price increase in the letter?
In one sentence. Name the escalation clause in the current contract, or the change in scope or lift count that caused it.
5. Can I change the AMC type at renewal?
You can propose it. State the change and one reason in the contract type section, not in the fine print.
6. Why send the renewal letter before Diwali?
Diwali falls on 8 November 2026. A letter that lands before it reaches customers before festival closures and year-end budgeting.
7. Does ElevatorPlus send AMC renewal reminders?
Yes. ElevatorPlus sends renewal reminders to the customer 60 days, 30 days and 1 day before expiry, by email, and by WhatsApp where the WhatsApp Business API is connected. It also generates an AMC renewal notice from the contract record.

Most AMCs that lapse were never refused. The letter went late, went to the wrong person, or gave the committee no reason to approve.
A good renewal letter does three jobs. It makes the deadline visible. It explains the number. It shows the year of work behind it. The sample above does all three on two pages.
Send it at 60 days, call at 30, and make the acceptance a signature on your own page. For contracts ending this year, get the letters out before 8 November.
